Central Region, Singapore Nanyang Technological University Full time $104,000 - $130,878 per year

The Lee Kong Chian School of Medicine (LKCMedicine) trains doctors who put patients at the centre of their exemplary care. The School, which offers both undergraduate and graduate programmes, is named after local philanthropist Tan Sri Dato Lee Kong Chian. Established in 2010 by Nanyang Technological University, Singapore, in partnership with Imperial College London, LKCMedicine aims to be a model for innovative medical education and a centre for transformative research. The School's primary clinical partner is the National Healthcare Group, a leader in public healthcare recognised for the quality of its medical expertise, facilities and teaching. The School is transitioning to an NTU medical school ahead of the 2028 successful conclusion of the NTU-Imperial partnership to set up a Joint Medical School. In August 2024, we welcomed our first intake of the NTU MBBS programme, that has been recently enhanced to include themes like precision medicine and Artificial Intelligence (AI) in healthcare, with an expanded scope in the medical humanities. Graduates from the five-year undergraduate medical degree programme will have a strong understanding of the scientific basis of medicine, with an emphasis on technology, data science and the humanities.

The role provides administrative and operational support for the Clinical Affairs function of the School, focusing on four key areas: clinical concierge services, adjunct teaching/academic appointments, meeting administration and secretariat support, and coordination of related events and meetings. The role underpins the School's clinical teaching mission by ensuring timely and accurate appointments, smooth committee operations, and positive engagement with over 4,000 adjunct Clinical Educators and multiple healthcare partners.

Responsibilities:

  • Manage the creation/renewal of network accounts, online access, NTU email inbox, staff cards and benefits for adjunct Clinical Educators (CEs).
  • Support Healthcare Institutions (HCI) Education Offices (EDOs) in addressing queries and feedback regarding CE appointments and benefits.
  • Review and process CE academic and teaching appointment nominations (biannual and ad hoc), including reappointments, for both private and public healthcare professionals.
  • Make recommendations to the Vice-Dean, Clinical Affairs (VDCA) for approval.
  • Prepare, issue and achive teaching appointment letters.
  • Process appointment cessations of adjunct CEs.
  • Coordinate with internal and external stakeholders (e.g., EDOs, Exams, Admissions etc.) to obtain data on adjunct CEs' contribution hours.
  • Enter and manage data in the contribution masterlist.
  • Support appreciation and recognition events for adjunct CEs and HCIs (e.g., Special Recognition Awards)
  • Support meetings (e.g., Assistant Deans' and Curriculum Committee, bi-weekly VDCA meetings)
  • Support events organised by the Curriculum team, if required.
  • Contribute to department's events including Multiple-Mini Interviews, OSCEs, White Coat Ceremony etc.

Requirements:

  • A good University degree in any discipline
  • Entry level degree holders are welcome to apply
  • Prior experience in the education or healthcare sector, particularly in administrative or stakeholder-facing roles, is highly preferred
  • Excellent verbal and written communication skills, with the ability to interact professionally and clearly with diverse stakeholders including clinical educators, healthcare institutions education office, and academic staff.
  • Strong formal writing skills with the confidence to capture and summarise discussions in meetings accurately, clearly, and in a professional tone. Must be able to deliver timely and well-structured minutes for dissemination within an agreed timeframe (e.g., two weeks).
  • Customer-oriented and personable, with a collaborative approach and a commitment to delivering positive user experiences
  • Demonstrated ability to manage high volumes of administrative work with efficiency, accuracy, attention to detail, and strong organisational skills. Comfortable working independently as well as collaboratively in a team-oriented and dynamic environment
