We are seeking a detailed-oriented and proactive Operations Executive to support the seamless execution of daily operations in Operations Department. The ideal candidate will have a strong analytical mindset, excellent organizational skills and a passion for enhancing operational efficiency.

Responsibilities:

Administrative Duties:

  • Support the Operations Manager in executing operational duties and initiatives
  • Manage administrative tasks, including setting up and updating POS system buttons to align with menu and pricing updates
  • Maintain, update and oversee operational documents, contracts and databases (e.g. activity records, suppliers/vendors agreements, performance data)
  • Organize and manage work calendars for outlets, ensuring smooth scheduling and coordination
  • Create and manage PowerBI dashboards to effectively visualize and analyze operational and performance data

Operational Supplies Management:

  • Order, manage, and distribute operational supplies to ensure all outlets are well-equipped
  • Monitor inventory levels, optimize stock control, and implement cost-effective procurement practices
  • Regularly assess supply usage and propose innovative solutions to improve efficiency, reduce waste, and enhance sustainability
  • Research and recommend new suppliers, products, or operational tools that can improve cost efficiency and service quality

Standardization and Documentation:

  • Maintain and update Standard Operating Procedures (SOPs) to ensure consistency across all outlets
  • Communicate and distribute updated SOPs to relevant teams, ensuring proper implementation

Meeting and Communication:

  • Prepare meeting agendas, host/actively participate in meetings, and document key discussions and decisions
  • Record and circulate meeting minutes, ensuring follow-up on action items with relevant stakeholders

Outlet Performance Assessment Management:

  • Compile and manage monthly operational performance assessments for all outlets
  • Maintain a historical database of performance assessments to track trends, identify areas for improvement, and support future analysis

Other Responsibilities:

  • Assist with other operation related tasks and duties as required
  • Proactively identify bottlenecks in operational processes and suggest improvements to enhance efficiency and service quality

The successful candidate will demonstrate the following:

  • Pro-active, a team player and able to work independently with minimum supervision
  • Work well with and manage multiple competing priorities simultaneously
  • Demonstrates positive thinking and an open mind to adapt to new environment/culture/challenges
  • Possess good interpersonal, oral and written communication skills
  • Able to speak and write in Mandarin to liaise with Mandarin speaking colleagues in Taiwan
