The Hospitality & Ticketing Coordinator is the central hub for all ticketing operations. You will be responsible for the end-to-end management of the ticketing process for our music events, from initial setup to final reconciliation. This role requires a meticulous and tech-savvy individual who can expertly manage our ticketing platforms, foster strong relationships with our ticketing partners, and provide a premium, white-glove service to our VIP guests.

Key Responsibilities

1. Ticketing Platform & Sales Management:

  • Build, manage, and maintain all events on primary ticketing platforms
  • Set up event details, including seating maps, ticket types (General Admission, Reserved Seating, VIP Packages), price scaling, and promotional codes.
  • Manage ticket inventory, including holds for artists, sponsors, press, and internal use.
  • Monitor sales in real-time, providing regular, detailed reports to management, marketing, and finance teams.
  • Troubleshoot and resolve any technical issues related to the ticketing platform or customer purchase journey.
  • Oversee the on-sale process, ensuring a smooth and successful launch for the public.

2. Partner Coordination:

  • Serve as the primary day-to-day point of contact for all third-party ticketing partners and vendors.
  • Communicate key event information, on-sale timelines, and marketing assets to partners.
  • Collaborate with partners to ensure contractual obligations are met and that our events are accurately represented on their platforms.
  • Work with the finance department to ensure timely and accurate sales reconciliation and settlement after each event.

3. VIP Coordination & Guest Services:

  • Manage the entire VIP ticketing process, from sending private purchase links to fulfilling special requests.
  • Act as the dedicated point of contact for VIPs, agents, artist management, and high-profile guests, handling all inquiries with professionalism and discretion.
  • Maintain and update the master VIP guest list for each event.
  • Coordinate the fulfillment of VIP package elements, such as merchandise, meet & greets, and exclusive access, by liaising with the production and artist liaison teams.
  • Ensure a seamless on-site experience for VIPs, from check-in to departure.

4. On-Site & Administrative Duties:

  • Assist with the management of the on-site box office operations on show days.
  • Collaborate with the venue and access control staff to ensure smooth entry for all patrons.
  • Handle escalated customer service inquiries related to ticketing.
  • Maintain organized records of all ticketing-related documentation, reports, and communications.

Qualifications & Skills

Required:

  • 1-3 years of experience in a ticketing, box office, or event coordination role, preferably within the music or live entertainment industry.
  • Proven experience working with major ticketing systems
  • Exceptional organizational skills and an impeccable eye for detail.
  • Strong communication and interpersonal skills, with the ability to build and maintain professional relationships.
  • Proficiency in Microsoft Office Suite, particularly Excel (or Google Sheets) for reporting and data analysis.
  • Ability to remain calm and solve problems effectively in a high-pressure, fast-paced environment.
  • Willingness to work flexible hours, including evenings, weekends, and holidays as dictated by the event schedule.

Preferred:

  • Direct experience managing VIP or hospitality programs.
  • Familiarity with concert and festival operations.
  • Experience in a customer-facing role.
  • A genuine passion for live music and a desire to contribute to creating incredible fan experiences.

Job Type: Full-time

Pay: $2, $3,535.10 per month
