DESIGNATION : Senior Executive, College of Graduate Research Studies

RESPONSIBILITIES
- Administration of PGR Student Schemes
- PhD Student Conference Funding:

- Ensure regular update of PhD students’ conference funding guidelines and FAQs, and facilitate the dissemination of such documents to PhD students.
- Identify areas where policies and/or guidelines relating to PhD students’ conference travel can be streamlined with the practices adopted by SMU employees.
- Dependant Sponsorship Scheme:

- Administer the SMU sponsorship scheme for dependants of Postgraduate by Research (PGR) students.
- Finance, HR and Other Administrative Duties
- Responsible for the purchase of goods and services through procurement platforms.
- Verify and process invoices, including staff purchases and transport claims.
- Track CGRS annual budget utilisation and ensure optimisation of budget to support the college’s key initiatives planned in the financial year.
- Co-lead and organise quarterly team bonding sessions for CGRS team.
- Maintain records of CGRS team’s time-off and selected leave types.
- Manage CGRS Dean’s calendar.
- Organise CGRS regular meetings and support the Assistant Director on note-taking duties.
- Manage the bi-ennial Asset Tracking and Verification exercise.
- Replenish pantry and stationery supplies on a bi-annual basis.
- Project Management and Reporting Support
- Support the Assistant Director in the execution of key business improvement projects.
- Maintain CGRS’s mailing lists for PGR recruitment leads and graduate placements.
- Maintain PGR policies and/or guidelines on OASIS student platform.
- Outreach and Marketing
- Maintain CGRS websites (both public-facing and intranet).
- Prepare and send publicity materials for various CGRS events and activities.

QUALIFICATIONS
- Minimum Bachelor degree, or equivalent.
- Minimum 3 years of relevant working experience.
- Good communications (both written and spoken) and interpersonal skills.
- Meticulous with strong organisational, analytical, problem-solving and time management skills.
- A keen sense of ownership and accountability and acts with a sense of urgency to meet tight deadlines.
- Adaptable, detail-oriented, resourceful, able to work independently and cross-functionally within the organisation.
- Good knowledge of procurement and reimbursement processes.
- Experience in the education sector at the tertiary level would be advantageous.
- Experience in project management is beneficial but not mandatory.
