The Opportunity
This role will spend approximately 50% of time focused on supporting the regional HR team, as the central point of HR administration for the region. The HR administration tasks vary, with some regular HR tasks (such as supporting the onboarding and exit processes, HR data entry, recruitment support) and a mix of supporting HR projects as led by the regional HR Business Partners.
For the remaining 50% of the work week, this position will be focused on working with the regional leadership team with administration support. This may include overflow work from the General Manager’s Executive Assistant (travel bookings, leave coverage, diary management, event organization) or ad hoc requests directly from the leadership team.
Accountabilities
HR Administration
- Delivering accurate, efficient, timely and standardized administration of employment lifecycle (including regulatory-related) transactions with strong employee experience focus
- Support regional HR projects to drive transformation and new strategic initiatives
- Drafting and issuing of HR letters and correspondence
- Manage HR calendar invites and coordinate HR training sessions
- Supporting onboarding and exit processes
- Manage employee movements and impacts on Asia’s health insurance policy
- Respond to AskHR queries submitted from within region
- Support the delivery of HR projects and initiatives led by regional HR Business Partners
- Build connections with HR support functions within Ireland and US to help service and resolve local issues
HR System Support (SuccessFactors)
- Data entry and management
- Data quality checks and generating reports as required
- Liaising with Systems COE for changes needed to HR system
- Support employees with queries on how to utilise HR system
Talent Acquisition Administration
- Drafting of Employment Agreements and issuance via DocuSign
- Supporting scheduling of interviews for Hiring Managers
- Communications and updates with applicants
- Support Hiring Managers with the onboarding program
Team Administration
- Provide backup to the Executive Assistant (leave coverage, overflow of work, etc)
- Support Regional Leadership team with travel and bookings
- Support the organisation, set up and pack down of team events, lunches, or guest visits to office.
- Support Regional Leadership team members with ad hoc administration tasks
The Skills you will bring to the team
- Experience supporting an HR team in an administrative/advisor capacity
- Basic knowledge of the HR lifecycle (from onboarding, performance, and exits)
- Basic knowledge of employment laws withing Singapore and / or other countries.
- Systems and data entry skills, including use of an HR system such as SuccessFactors
- Previous experience in an administrative role supporting multiple stakeholders
- Strong customer service and communication skills, both verbally and written
