Description
A JOB ROLE
1. Operations Support
- To provide HQ support for day-to-day operations of a cluster of preschools to the Cluster Operations Director, whenever necessary.
- Update information and disseminate information to centres, including but not limited to:
- Centres’ details
- Profit & Loss reports to centres.
- From regulatory authorities to centres.
- Closure days, etc.
- Coordinate and collate central data/information that is required from centres:
- Centres’ reports.
- Coordinate, collate and distribute orders of materials:
- Marketing materials - brochures, posters, gifts, etc.
- Customer surveys
- Newsletters
- Coordinate and monitor centres’ adherence to submission deadlines for projects, newsletters, etc.
- Provide support to events.
2. Centre Setup
- Prepare reports relating to the new Centres’ enrolment.
- Ensure all enrolment information are given to Principals when the centres are in operation.
- Ensure all procedures and forms required by new centres are given to the assigned Principals.
- Provide administrative support to Superior in relations to centre setup.
3. Reports
- To assist the Operations Director in preparing management reports to Senior Management and the Board of Directors, providing analysis and reports of the business, P&L, operations, enrolments etc.
- To manage the entire process of key management meetings including, but not limited to, collating pre-meeting reports by other Head of Departments, arrange venue, zoom and inform relevant parties, provide secretarial support and keeping a formal record of the meeting, and all other post-meeting task.
- To assist the Operations Director to conduct market research of the sector, prepare market reports and analysis, if necessary
4. Office Administration
- To check and process documents submitted by the preschool Principals for approvals by the Operations Director, such as invoices, purchase requisition, manpower requisition, financial assistance, and other operations and HR related approvals etc.
- Record minutes of meetings of management, operations, etc.
- Maintain filing
- 5. Others
- Any other duties to support the cluster operations and the work of the Operations Director
B CHALLENGES AHEAD
Coordination with centres especially in timeliness.

- Min 3-year full-time working experience
- Likes figures and have an eye for details
- Good documentation and communication skill
- Aptitude for IT and proficient in using Microsoft Excel will be an advantage
- Team player with good interpersonal skills
- Demonstrate good analytical and problem-solving skills
- Able to work independently with little supervision
- Able to work with tight deadlines and under pressure
