
Office & Executive Assistant

You are the face and voice of the office. You drive a hybrid mix of day-to-day office operations, HR, finance and IT assistance, as well as executive support to the leadership team.
You are passionate about making the office a better place to work in and fostering an atmosphere that inspires creativity, collaboration, and employee satisfaction.
**Key responsibilities - though not exhaustive**:
- **Office conductor**:Seamlessly manage all administrative and facilities matters for the office - including, but not limited to reception service, liaising with building management and external vendors, general supplies management (pantry, stationery, toiletries etc), calendar management (updating the team on staff leaves and events), and inventory management (company assets such as laptops and monitors)
- **Office ambassador**:Be the first point of contact for all guests, clients and employees, welcoming them to the office, and assist on regular company-wide events and activities
- **Executive support**:Provide comprehensive support to leadership team - including, but not limited to schedule management, filing claims, and making travel arrangements
- **Tech support**:Managing IT queries from the employees with technical support from IT vendor, supporting HR in onboarding/offboarding IT and insurance matters (setting up of new accounts etc)
- **Business development**:Regularly updating listings for marketing purposes, management of new client/campaign entries on Resource Management platform
**Requirements**:
- At least 2-3 years of working experience - relevant experience in office admin work and executive support is preferred
- Good interpersonal and communications skills
- Positive attitude, with willingness to learn
- Team player, who is meticulous and responsible
- Tech savvy - especially in software such as Google Workspace, MS Office Suite, Zoom and Slack
- Ability to work independently, but also collaborate effectively with the team both locally and remotely
