Perform a variety of complex and responsible supervisory duties requiring a thorough knowledge of departmental and organizational procedures for SG office. Provide extensive administrative support services to Singapore office running and also admin support for Leadership teams for Asia Pacific (Including SVP -APAC, VP- Finance, VP Operation, VP- Marketing and other LTs based in SG)

Assist in the preparation and control of records, finance data, especially on office cost G&A spending, Group wise T&E analysis. Provides office services, procedures, and policies, while monitoring administrative projects.

**Essential Job Functions**:

- Manage and process General & Administrative spending of SG office and monitor the payment process by co - working with each dept. to ensure payment is processed accurately and timely.
- Service SG based team office admin matters, especially support team well settled and working effectively in SG office. Manage necessary office related service from sourcing vendor or supplier to maintaining service agreement. Mini Service center also for helping SG based employees to reach out right resource and contact within the organization (i.e., HR help, IT help and Payment/Vendor setting help etc.).
- Lead office working environment as comfortable and productive as possible.
- Lead documentations for overall Singapore office administrative documents, contract, etc.
- Support the admin request from SG based cross functional team (Finance, HR, Operation, Commercial, Legal etc.) and keep updated of local practice. I.e. Work with Finance VP closely to provide data, evaluate and select of Travel agency vendors for APAC markets.
- Manage organizational schedule adherence, preparing for the meeting arrangements, attendee’s availability, schedule alignment and invitation sending based on request.
- Travel / logistic arrangement through internal and external coordination for cross markets / functions events held by SVP or any Group level functional Leaders.
- Local Logistic and hospitality arrangement for VIPs/ Guests visit from External and Internal of the organizations.
- T&E claiming support for SVP, VPs located in Singapore or overseas through Concur, familiar with Concur system using and steward on company T&E policy update.
- Report SVP APAC of government required administrative education and document submission in case there is a need.

**Position Requirements**:

- Communication Skills (Listening, Speaking, Writing, Inquiring) in English, Quick responsive working attitude.
- Process management, Schedule management, Problem solving (Thinking Systematically, Problem Solving).
- Highly proficient English writing and speaking Skills, Administrative Writing Skills, Microsoft Office Skills, Analyzing Information, Professionalism, Problem Solving.
- Customer Focused.
- Attention to Detail (Observant).
- Change Management.
- Bachelor’s Degree or equivalent experience preferred.
- Cheerful and positive personality who can enjoy young, independent, and flat working environment.
- Nice to have certain EA or office manager related experience.
