Executive Assistant and Office Manager

**About the role**:
**Key Responsibilities**
- Provide executive support in the form of extensive calendar and travel management for Partner and Managing Partner level executives
- Administrative support to the wider team, as needed
- Organize agendas, action items and minutes for key staff meetings
- Responsible for maintaining office morale by developing efficient and equitable office processes so that employee satisfaction is high while working within the office budget
- Organize, prioritize and coordinate multiple work streams and meet deadlines
- Administration of conference room schedules and coordination of guest events and meetings
- Partner with wider Executive Assistant team to maintain and update company seating charts, contact lists and company intranet
- Ensure office operations and inventory runs smoothly while liaising with external vendors and suppliers
- Management of all visitors to the Singapore office and issue invitation letters and other documents as required
- Act as the Singapore representative of the wider global Real Estate and Workplace Services (REWS) team, working closely with the Head of the One SoftBank REWS team
- Develop, maintain and implement the business continuity strategy and procedures as directed by the One SoftBank UK Operational Risk Team
- Take the lead in management of a business continuity incident, including notification to the One SoftBank Operational Risk Team or the Crisis Management Team (CMT) Chair, escalation and updates to stakeholders and coordinating and facilitating corrective actions to return to business as usual activities
**Required Qualifications / Experience**
- 3+ years of administrative experience, with 2+ years of experience in an operational/customer service-driven role providing Executive Assistant support
- At least 1 year experience in supporting Director / Managing Director executives
- Bachelor’s degree
- High-level of confidentiality, discernment and judgment
- Proven ability to problem solve and multi-task against urgent deadlines and sudden priorities
- Excellent written and verbal communication skills, and the ability to interface effectively with internal leadership and high-stakes external contacts
- Team player with strong interpersonal skills including conscientiousness, diplomacy, flexibility, and dependability
