The Office of Academic Services plays a key role in advancing the University's educational goals through implementing and administering the academic policies established by the University's academic body. We provide academic services for students from the time of their matriculation to their graduation.
The job holder will manage the day-to-day operations for the graduation functions.
**Responsibilities**:
1. Manage the monthly preparation and issuance of degree certificates, official transcripts and Second Major certificates (including hardcopy and electronic formats such as eTranscripts, OpenCerts) and validate the accuracy, security and quality of these official documents issued to graduates of the Undergraduate Education (UE) and Graduate Education (GE) programmes.
2. Handle the annual procurement of the UE and GE degree certificates and transcript papers, and liaise with the appointed vendor on printing of the UE and GE degree certificates
3. Liaise with partner universities on graduation document requirements for Joint Degrees and prepare submissions to seek approval from the relevant authority for deviations from policies.
4. Liaise with various Departments/Colleges/Schools to handle out-of-norm appeals, requests and enquiries for the following areas on a day-to-day basis in accordance with established guidelines and protocols:
- Daily transcript requests by alumni and students
- Degree certificate mailing and replacement
- Certification letters
- Degree verification requests from external organisations including reporting of academic document forgery cases
5. Support review and integration of processes, guidelines and policies pertaining to graduation matters, and assist in the implementation of new initiatives, process improvements, system enhancements
6. Liaise with appointed OpenCerts and Student P-Files system vendors and CITS to implement system updates or troubleshoot issues encountered
7. Support SMS implementation including gathering and provision of requirements to appointed vendor, performing UATs and data/document migration for past graduates
8. Maintain and update webpages and FAQs on graduation matters
**Requirements**:
- A recognised university degree (in any discipline) with at least 3 years of relevant working experience in administration, preferably in the tertiary education sector
- Service-oriented mind-set with excellent interpersonal and communication skills
- Meticulous and organised with an eye for detail
- System and data-saavy; comfortable handling large volume of data records and documents
- Knowledge of SQL would be an added advantage
- Able to multi-task and work with minimum supervision and tight deadlines
- Familiar with the Personal Data Protection Act, in relation to collection, use and disclosure of students and graduates’ personal data
