**Overview and purpose of the position**
The Wellbeing office is a strategic outfit that serves to assess, identify, and develop strategies to improve professional fulfilment and individual wellbeing. It will work with and through existing resources and levers within the institution and consolidate efforts and initiatives to achieve the desired outcomes, minimizing duplication of efforts and resources.
The team will work with representatives and partners in all institutions and units and (over time) establish a robust network of wellbeing advocates and practitioners as well as framework across the cluster.
The incumbent will assist in the management of the daily operations of Wellbeing Office.
**Responsibilities**:
- Responsible for daily administration duties, including following up on action items, booking of meeting rooms, managing calendars, scheduling meetings, sending reminders, and organising catering when necessary.
raising IT access/productivity tools requests
managing pre-events/workshops and post-events/workshops when necessary
managing and maintaining department inventory of stationery, assets, and equipment
checking, collating, raising Purchase Requisition (PR)/Purchase Order (PO) inclusive of e-filling of billed receipts/invoices
- Oversee common Wellbeing Office mailbox to ensure timely notification where applicable and distribution based on escalation pathways.
- Liaise with both internal and external stakeholders for WBO daily operations.
- Provide any other administrative and logistic support as and when required.
**Qualifications and Job Requirements**
- Good interpersonal and communications skills.
- Ability to multi-task, resourceful.
- Open to new skills and enjoy new challenges.
- Highly organized and meticulous.
- Proficient in Microsoft Office tools.
- Proficient in virtual meeting tools.
- Experience in at least 2 years of administrative support would be beneficial.
