**JOB SUMMARY**

Provides administrative support to the transport department.

**JOB
**Support for Transport Department**
- Review delivery orders to ensure proper endorsement by customers and ensure daily scanning of delivery orders for submission to the customer service team for billing purpose
- Identify discrepancy in delivery documents and/or goods for credit note generation
- Follow up on outstanding delivery orders, rejected or cancelled delivery orders
- Maintain proper, timely and accurate filing of delivery orders
- Seek approval and arrange daily payment for inbound shipment arrival notice and outbound shipment tax invoice; and coordinate with the customer service team to bill customers accordingly
- Collect cheques/cash collected by drivers and submit to the finance department for processing
- Top up petty cash for delivery attendant based at the Keppel Distripark for clearance of inbound cargo and compile weekly petty cash report for submission to the finance department
- Source and evaluate service providers for all delivery vehicle related matters
- Ensure proper maintenance programmes, including periodical and ad hoc servicing and repairs are in place for all delivery vehicles so as to minimize breakdown or accidents
- Monitor all delivery vehicles road tax, insurance and vehicle parking certificate (VPC) renewals, and arrange for vehicle inspection
- Arrange spray painting of all delivery vehicles when the need arises
- Filing of expenses from the transport team members, compile expense claim forms and verify the claimed amount against the receipts; and submit the claim forms to the relevant authorized signatory for approval and submission to the finance department for disbursement of claims
- Perform monthly expense analysis including but not limited to parking/ERP charges, cost of diesel, service, repair and maintenance and all other expenses incurred by the transport department
- Monitor leave schedule of the transport team and alert the managing director on potential manpower shortage in the transport team
- Prepare weekly and monthly update of route loading by vehicle/driver, delivery performance by driver including on time delivery, late delivery, rescheduled delivery and non fulfilment cases
- Weekly verification staff’s attendance and overtime record
- Back up for delivery route planning and coordination with drivers/ customer service team

**Operations Office Administration**
- Monitor and replenish stationery, supplies and relevant equipment used by the transport and warehouse team
- Managing mails and courier services for operations office

**General Duties**
- Comply with company regulations and rules at all times
- Perform general works and/or other duties as assigned by immediate supervisor and/or authorized personnel

**QUALIFICATIONS**
- Diploma in Warehouse/Distribution/Logistics or equivalent
- Minimum 2 years of relevant operational experience in delivery operations, preferably with the logistics industry
- Good knowledge of Singapore topography and roads
- Familiar with Land Transport Authority and other local authorities’ rules and regulations
- Possession of Class 4 driving licence would be a distinct advantage
- Proficient in Microsoft Office
- Strong verbal and written communication skills
- Good interpersonal skills with ability to communicate with colleagues and customers in a professional and positive manner
- A meticulous and proactive team player with commitment to collaborate with other functions of the Company
- Strong planning, organizing, prioritization and time management skills
- Flexible and adaptable with ability to multitask and to work in a fast paced environment

Monday to Friday : 8am - 5pm

Saturday : 8am - 12noon
