The Manager is responsible for operationalizing SBSA’s key programs and initiatives, including overseeing all accounts and bookkeeping tasks alongside the Admin Executive. This role focuses on ensuring that financial documentation for donations, sponsorships, and events is accurately maintained. Additionally, the Manager leads the execution of high-performance and pathway programs, technical capability and coaching development, event management, and facility operations.
**Reporting Structure**
This position reports directly to the General Manager and works closely with other key stakeholders.
**Key Responsibilities**
1. Leadership
- The Manager plays a critical role in translating strategic objectives into operational execution, with a particular focus on High Performance (HPE), Pathway Development, and HQ Operations.
- Lead the day-to-day operations of HQ, ensuring that the SOPs and policies developed by the GM are implemented efficiently.
- Provide leadership to the HQ team by ensuring that administrative, financial, and operational tasks are completed on time and according to the standards set.
- Act as a key leader in decision-making on daily operational matters and provide solutions to any roadblocks that arise.
- Lead the coordination of High Performance and Pathway Development programs
- Oversee the logístical execution of training schedules, competitions, and developmental programs, ensuring that SBSA’s strategic vision is realized in practice.
- Provide leadership to coaches and technical staff, ensuring that they have the resources and support needed to meet performance targets.
- Take initiative in identifying gaps in program execution and propose solutions to the General Manager
- Provide guidance and mentorship to the Admin Executive, promoting their professional growth and encouraging them to take ownership of their tasks.
- Ensure the Admin Executive understands their role in supporting both operational and strategic objectives.
2. HQ Management
- Assist the General Manager in rolling out Policies and Standard Operating Procedures (SOPs) across the organization.
- Ensure adherence to the SOPs in daily operations, overseeing administrative, financial, and operational processes to ensure they meet the standards set.
- Act as the main point of contact for staff on the implementation of these policies, providing guidance and making sure they are followed consistently.
- Identify any issues or inefficiencies in the execution of SOPs and suggest improvements or adjustments to the General Manager.
- Support the General Manager in coordinating regular reviews of SOPs to ensure they remain relevant and effective.
3. Finance and Regulatory Compliance & Reporting
- Assist with generating receipts and invoices, documenting donations and sponsorships, and ensuring that financial materials are correctly prepared for the accountant.
- Ensure proper financial tracking and reporting for each high performance team and event via the Event Management Statement (EMS), a P&L document.
4. High Performance
- Coordinate all logistics and operations for national teams, including training schedules, competition plans, and budget management.
- Support coaches, athletes, and technical staff to ensureprograms run effectively and in line with performance goals.
- Track team performances and ensure regular reports are provide to the General Manager and Board.
- Assume the role of Team Manager for overseas training and competitions as required.
5. Pathway Development
- Oversee the daily operations of youth academies and learn-to-play programs, managing schedules, registration, and communication with stakeholders.
- Work with coaches and support staff to facilitate the smooth running of programs and identify emerging talent.
6. Event Management
- Plan and execute all operational elements of national and local events, including securing venues, managing logistics, and coordinating volunteers.
- Ensure all events are delivered on time and meet the strategic goals of the association.
- Prepare and manage the Event Management Statement (EMS) for each event, including pre-event and post-event financial reporting, ensuring these are submitted for council approval.
7. Facilities (Jurong Softball Field)
- Ensure that the general cleanliness of the facilities, including the two diamonds, batting cage, and irrigation system, is maintained.
- Coordinate and manage the grass cutting for the synthetic (artificial grass) and skinned diamonds, ensuring the field remains in playable condition.
- Oversee the maintenance of the skinned diamond, including regular raking and surface management to ensure safe and optimal playing conditions.
- Supervise the daily management of the 4-lane batting cage, ensuring that equipment is in working order and the area is clean and organized for use.
