**JOB PURPOSE**

A National Healthcare Group (NHG) Residency Programme Coordinator (PC) performs a key role in supporting the assigned residency Programme Director (PD) and programme team in the coordination and management of the residency programme, including accreditation of the programme. He / She shall also assist the NHG Residency Designated Institutional Official (DIO) and Institutional Coordinator (IC) in the fulfilment of their mission to provide the best learning environment and quality medical education for Singapore’s next generations of medical professionals.

Working together with the PD and program team, the Programme Coordinator is responsible for:

- Programme Accreditation and Management
- Administering and Maintaining a Conducive Educational Environment
- Resident Recruitment, Selection, Appointment, Management and Development; and
- Faculty Appointment, Management and Development.

The Programme Coordinator is also expected to participate in assigned initiatives and projects to achieve the institution's vision, mission and strategic objectives.

a) Programme Accreditation and Management
- Understand the requirements set by MOH, JCST, RAC and ACGME-I, and assist the PD in ensuring that programme meets the requirements
- Coordinate the completion of the necessary programme information form or programme accreditation document for submission for accreditation
- Prepare and maintain the supporting documents for the submission to ACGME-I / JCST and for review during site visits
- Update of programme records in the ACGME-I Accreditation Data System (ADS) and to the Sponsoring Institution at least annually
- Prepare for mid-cycle or education reviews
- Provide secretariat support to Programme sub-committees and meetings - Clinical Competency Committee, Programme Evaluation Committee, Program Education Committee, Monthly PD's sessions, etc.
- Plan the yearly schedule of the programme according to institutional and programme requirements
- Budget and manage the budget allocated to the programme and assist the IC in ensuring financial prudence
- Ensure timely submission of management reports and KPIs to IC for forward submission, e.g. to MOH and relevant professional bodies
- Establish programme policies and procedures with the PD and direct workflow for administrative paperwork, records and filing systems for the programme

b) Administering and Maintaining a Conducive Educational Environment
- Plan, organize and coordinate programme specific orientation activities and materials for new residents
- Organize and coordinate the programme’s curriculum and didactics
- Organize and coordinate rotations for residents according to schedules planned by PD
- Manage and supervise administration of the evaluation and assessment of the programme
- Manage the collation of duty hours

c) Resident Recruitment, Selection, Appointment, Management and Development
- Plan and organize the programme's open house and career symposium for resident recruitment
- Be the point of contact for residents regarding administrative matters
- Assist in monitoring resident performance and progression

d) Faculty Appointment, Management and Development
- Assist in the appointment of faculty members and keeping record of their involvement, updating the various databases where applicable.
- Disseminate training-related information appropriately and timely to faculty.
- Coordinate programme-specific faculty development courses and briefings.
- Track of faculty attendance in common and program-specific faculty development programmes.
- Provide advice to faculty on residency related administrative matters.
- Collate and forward residents' feedback on faculty to PD for attention, performance appraisal and necessary actions

NHG/Group Education/Unit/Team Initiatives (contributing to how we do our job better, do our job

- Lead and participate in assigned initiatives and projects to achieve the institution's vision, mission and strategic objectives
- Actively contribute in the development of graduate medical education and health professions education in NHG
- Actively contribute to the development

**JOB REQUIREMENTS**

Education/Training/Experience
- Bachelor’s degree with minimum 1 year of work experience
- Prior work experience in the education administration or healthcare industry is an advantage
- Excellent communication skills in both spoken and written English
