Operations/ Admin Executive
Job Scope: The role will provide administrative support to Site Operations and HR and serve to communicate project needs between office and operations.
Responsibility:
1. Training & Development
- Develop training course for new operations staff or promoted staff on operational SOPs and SMAS training if applicable. Test their understanding.
- Look after training needs of staff such as booking training for staff, uploading certificates, updating database on cert expiry dates, ensuring training feedback forms are completed.
- Creating manuals to assist staff in learning
- Processing of monthly Clearance Applications for Company (if any) and sub-con employees
- Renewing passes for staff.
**3. SOP**:
- Understand current operational activities.
- Review current SOPs for project sites and make improvements.
- Setup new SOPs where lacking and implement.
- Develop a system to ensure SOPs are being followed at all times, any deviation from SOPs are logged, flagged and followed up.
- Work with the office staff to understand their requirements before setting up new SOPs and making improvements.
- Attending Ops weekly meeting (early morning) - assist in sorting out the HR issues, such as inaccuracy of sub-con Delivery Orders signed by the site personnel
4. Administration
- Ad Hoc admin needs
**Requirements**:
- Proficient in Office 365 including Sharepoint, advanced Excel skills such as pivot table.
- GCE O’Levels and above
- Able to multi task, highly organised with exemplary time management skills.
- Driven and proactive
- Attention to details
- Strong analytical and problem solving skills.
- Willing to use own credit card for training booking and claim reimbursement monthly.
Working hours:
Mon-Fri 8:30am-17:30pm. Friday need to come in to office at 7:30am for meeting.
