
Administrative Support Officer

A successful Administrative Support Officer, you will act as the point of contact for all employees, providing administrative support and manage their queries. Your responsibilities will not be limited to welcoming visitors and clients, overseeing office cleaning staff, arranging business travel, managing the vendors, office supplies and organizing mail records. To succeed as an Administrative Support officer, you should display professional phone etiquette, and a thorough understanding of the office management procedures as well as demonstrate solid organizational and time management skills.
**Duties and responsibilities**
- Perform receptionist duties which are not limited to answering telephone calls, responding to queries, meeting and greeting visitors
- Receive, sort, and distribute incoming mails (physical and electronic) and coordinate parcel services for internal and external clients
- Assist in preparing annual estimates of expenditure, maintain budgetary and inventory controls and provide recommendations to Superior
- Manage calendars which include scheduling meetings and booking meeting rooms as well as making business travel arrangements
- Involve in arranging internal and external events/activities
- Maintain the office supplies inventory level and place order to ensure continuous supply
- Ensure cleanliness and tidiness of meeting rooms and reception area
- Liaise with contractor/vendors/service providers for all office facilities-related maintenance as and when required
- Other HR and administrative tasks, as assigned
**Requirements**:
- At least 3 years of relevant experience
- Good written and verbal communication skills with strong attention to detail
- Solid organizational, communication and customer service skills
- Ability to work well with all levels of internal management and staff
- Ability to multitask
