As our Administrative Executive, you won't just be managing tasks; you'll be the backbone and heartbeat of our daily operations, enabling our vital support services to reach those who need them most.
Job Duties
Your roles and responsibilities will include, but are not limited to:
Office Administration
- Greeting and directing visitors, answering phone calls.
- Procurement of office supplies and equipment.
- Vendor management; liaising with vendors (IT, facilities, cleaning, suppliers) on quotations, repairs, and maintenance work.
- Staff equipment setup (laptops, door access, email accounts, name cards).
- Maintaining filing systems and ensuring confidentiality and security of files.
- Handling sensitive information discreetly.
- Coordinating schedules, arranging meetings, and distributing memos and reports.
- Operating office equipment such as copiers and printers.
- Researching, preparing, and handling ad-hoc projects.
- Managing day-to-day office administrative duties.
Finance & HR Administration
- Managing payment vouchers, including preparation and filing.
- Handling donations-in-kind inquiries and management.
- Overseeing receipt, acknowledgment, and distribution of donations-in-kind to beneficiaries.
- Sending thank-you acknowledgments to donors.
- Maintaining the donations database and files.
- Issuing office equipment such as laptops and keys to new staff.
- Asset management of office equipment.
- Handling banking transactions.
- Performing other administrative duties as required.
Programme & Events Administration and Support
- Following up on event registrations and payments.
- Providing logistical support and representation at events.
- Supporting inquiries from members regarding programs and events.
- Updating members' information as needed.
Fundraising & AGM
- Coordinating and supporting fundraising and AGM activities.
- Managing the preparation of Annual Reports.
Other Duties
- Performing additional duties as assigned by the Senior Finance Manager, Programme Manager, or Executive Director.
Others
- Applicants must be fully vaccinated (two doses of mRNA vaccine or three doses of Sinovac). Proof of vaccination or a doctor's memo for medical ineligibility may be required for verification.
Job Requirements and Skills
- Minimum Diploma qualification.
- At least 3 years of relevant work experience, preferably in administrative roles.
- Proficiency in office management software such as Microsoft Office (Excel, Word, PowerPoint).
- Knowledge of social media platforms.
- Ability to manage multiple tasks meticulously and meet tight deadlines while remaining flexible.
- Ability to work independently and as part of a team.
- Strong organizational and problem-solving skills.
- Excellent written and verbal communication skills.
- Attention to detail.
Workplace : 9 Bishan Place #08-01 Junction 8 (Office Tower), Singapore
Note: Weekend work may be required during events or workshops.
Salary range: S$2,650 to S$3,500 per month.
