**Role Purpose**:
Provide administrative support for HR, facilities and office administrative tasks including coordinate office maintenance, purchase of office supplies and source for services and equipment.
**Key Accountabilities**:
**(1) HR Admin Support**
- Assign work desk, phone number, prepare and activate access card
- Process of work passes
- Conduct new hires onboarding orientation
- Prepare and blast out staff movement announcement
- Clearing of pedestal for departure staff Raise expense claim for the Head of CHR and the department
**(2) Facilities Admin Support**
- Liaise with vendor and service providers on office servicing maintenance
- Liaise with landlord/tenancy matters
- Manage pantry and supplies, and employees benefits/welfare arrangement
- Raise PQ/PO of vendor’s invoices via Dynamic 365 Business Central
- Provide monthly update on company invoices on spreadsheet Update of seat layout plan, Webex listing and access card listing
**(3) Admin Budget & Expense Management**
- Work and yearly budget on admin and facilities expenses
- Update invoices in excel spreadsheet and keep track of budget expenses Update electricity, water usage and copier usage in admin & facilities portal (via Hive) for company
**(4) Other Admin & Event Supports**
- Person in-charged of CHR BCP and sustainability report for company and consolidation for group of subsidiaries
- Organizing, coordinating calendar, schedule meeting and book meeting room for Head of CHR
- Incoming mail distribution Provide admin support on Company townhall, corporate events, employees engagement activities and any ad-hoc projects when necessary
**Qualification, Competencies/ Other Requirements**
- At least "A" level, Diploma/Advanced/Higher/Graduate Diploma
- At least 4 year(s) of working experience in the related field
- Required Skill(s): Microsoft office (especially in Excel), Adept in Technology
- Verbal & written communication skills
- Meticulous and detailed at work
- Able to multi-tasks and have dependable working attitude
