**Your role as an Office Manager**
We are looking for an Office Manager to join our community in setting up a new office in Vietnam. We are looking for a professional individual who is passionate about creating a nourishing workplace, to provide support to office. You will perform a variety of office administrative tasks and will act as the first point of contact for related queries from facilities vendors and contractors.
**What will you need to do?
**Operations**
- Work closely with Managing Director in setting up new office in Vietnam.
- Space planning / design knowledge and project management skills in facilitating office renovation works, international offices set-up and moves.
- Support the key office infrastructure both in set up and administration office lease, IT systems, equipment purchase and registration.
- Provide daily support to office operation on matters pertaining to facilities and administration on-site, including communicating effectively with various stakeholders. Respond to service calls, requests, queries, feedback or complaints and follow up accordingly.
- To coordinate with the contractors, vendors, service providers, external authorities, and key stakeholders in the daily and periodic maintenance of the office and implementation of the office maintenance policies.
- Lead the negotiation with the building management and various contractors.
**Personal Assistant**
- Provides secretarial support such as managing calendars & meetings, scheduling and organising appointments & engagements, business/personal travel arrangements, filings etc.
- Arrange & co-ordinate travel arrangements, including visa and accommodations, for both business and personal travels.
- Running errands and support events where necessary
- Perform other secretarial tasks according to established guidelines and procedures so these activities are completed accurately and on time.
- Occasional outdoor work may be required such as mailing, cheque deposit, document collection and delivery
**Talent Acquisition**
- Work with all internal stakeholders and hiring managers to ensure the function of talent acquisition specific to high demand roles continues to improve the hiring and sourcing process.
- Serve as the internal Talent Advisor towards the hiring needs while simultaneously directly handling and recruiting for multiple key technology roles
- Assist in payroll related matters.
- Perform daily HR duties from on-boarding to off-boarding.
- Coordinate with all departments on hiring plans, resignations, confirmation, and all HR related matters
- Prepare weekly/monthly reports in a timely and accurate manner
- Undertake any ad-hoc projects assigned by the superior/management team from time to time
- Coordinate hiring activities
- Assist with new hire onboarding (e.g., preparing documents, coordinating orientation agendas)
**What will you need to have?**
- Bachelor’s degree with any certification with at least 2 years of relevant experience.
- Excellent written and verbal communication skills.
- Excellent leadership, organization, and problem-solving skills.
- Self-motivated, driven individual - able to identify problems and execute on solutions
- Fluent in English.
