
Customer Care Associate

Job Summary:
Manage both internal and external stakeholders (including customers), process all incoming orders and inquiries from customers through various modes of communication. Maintain and deliver optimum quality of service to customers, solutions to customers’ demand and requirements through effective communication with customers and the commercial operations team.
Essential Functions:
1.
Focused on building high quality customer service and retaining valuable customer relationships.
2.
Promote open communication and cooperative collaboration among departments.
3.
Establish effective communication with internal stakeholders (Sales and Marketing teams)
4.
Assist with work procedures, work schedules and workflows when applicable; identify opportunities for process improvements.
5.
Assures a smooth workflow for maximum productivity.
6.
Handle internal & external customer requirements and work closely with 3PL team(s) to ensure smooth and timely deliveries.
7.
Process all incoming orders, issuance of credit memos and customer payment receipts.
8.
Receive orders from subsidiaries and ensure documentation is properly stored/saved.
9.
Update customers directly on out of stock/KIV stock situations to facilitate smooth ordering process.
10.
Pack trial lenses from all orders and maintain trial stock inventory on a regular basis.
11.
Prepare trade communication letters on product discontinuation/administrative related matters to be distributed via snail mail and/or electronic mail to all customers.
12.
Manage service complaints and product related complaints (monthly GVP reporting) from customers by effectively communicated with 3PL and Quality team in global HQ.
13.
Create purchase orders for approval followed by submission to global team on a monthly basis.
14.
Prepare Statement of Accounts on a monthly basis to be distributed via mail and/or electronic mail to all customers.
15.
Annual disposal lens coordination exercise, as well as supporting the annual GDPMDS audit exercise.
16.
Support administrative activities such as monthly pantry purchases, office supplies purchases, liaising with external vendors for printer and water server maintenance and other tasks assigned by your supervisor.
**Requirements**:
Diploma qualificationsMinimum of two-three years Customer Service experience preferred. Medical Device field experience a plus.

Knowledge, Skills and Abilities: - Excellent communication (both verbal and written) and active listening skills.Excellent keyboard skills, fast and accurateIntermediate skill level in the use of Excel, Word, Outlook and PowerPoint.Attention to details and problem solving skillsDemonstrate customer focus and ability to establish and maintain positive relationships with customers, including displaying patience, empathy, professionalism and accountability to the management.Meticulous with details and must be able to work collaboratively with other team members.Exhibit proactive traits and able to work independently.Strong business acumen and ability to learn new systems, products and processes when implementedBilingual (English/Chinese) required.
Pay: $1,574.36 - $4,098.34 per month
