1) General Administration- Minute taking and updating enquiry statistics in staff meetings
- Collate clients’ feedback forms for FSS QSM Quarterly Report and represent in meetings

2) IT Management- Manage and maintain all IT systems
- Setting up IT equipment for new staff
- 3) Facility & Building Management- Manage & Maintain of centre’s equipment
- Setting up Training Rooms & Counselling Rooms for Meetings & Appointments
- Ensure upkeep, cleanliness and maintenance of the facilities. This includes liaising with vendors on maintenance matters, upkeep of first aid supplies and fire-fighting equipment
- Plan and conduct workplace safety exercises (e.g. fire drills) in accordance with safety guidelines and regulations
- Space Planning Management (Including storage)
- 4) Front Desk Management5) Human Resource
- Provide support in recruitment activities where needed. (e.g. Arranging for recruitment interviews and setting up room)- Managing centre’s cleaning lady’s schedule and duties
- Staff welfare: Condolences, hospitalization, coordination of WHP activities, etc.

6) Financial Matters- Manage the procurement and replenishment of office required stationery and supplies.
- 7) MSF Reporting- Timely keying of data into SSNet with accuracy
- 8) Programme Administration/Data Security- Perform data -entry and prepare related documentation for relevant parties, ensuring proper records - keeping and adhering to data protection protocols
- Upkeep of physical archives and regular backup of e -files

**Requirements**:

- At least 1-2 years administration or other relevant experience
- Customer service orientated
- Proficient in Microsoft Office
- Knowledge of procurement process & system
