Facilities Administrator
Work Dynamics - Integrated Facilities Management
Duties & Responsibilities
Appropriate and trained person to support as back-up of reception desk during working hours when necessary. (Primary back-up for Reception Services when necessary)
Efficiently conduct site walk at least twice daily
- All line items required on site checklist
- First Aid & AED checks
- Stationery
- Toilet
Responsible and manage tracker and replenishment of pantry /office supplies, vending machines
- Administrative work for vendors arrangement to site
**Facilities Management Duties / Job Scope**:
Responsible for delivery of Conference Room Resources, support Events and Hospitality management, assist in move requests/management and updating of DOX, property removal passes, visitor procedures, coordinate new hires and terminations, key lockout procedure, maintenance & repairs, record keeping, vendor escorting, archiving requests, support for Move, Restack and Churn Requests
Responsible with submission of RA, PTW, SWMS, rental of space or additional HVAC request to building management.
Liaise vendors with regards to scheduled/ adhoc service maintenance (Soft/ Hard services)
Manage & maintain facility management tasks as assigned
Ensure appropriate follow up with users
Responsible for basic building repairs such as plumbing, carpentry, painting, plastering, light bulbs change, locks/keys replacement
Attending to request/ complain, tracking, close or update tickets on Corrigo
Support for JDE & Coupa system i.e. Create Purchase Order (PO) requests on behalf of the facility management team for both JDE and Coupa System
Support with maintaining financial tracker to ensure of all responsible financial process. To ensure that all payments are properly documented and completed in a timely manner
**Requirements**:
**Communication skills**: Need to be able to communicate effectively with colleagues, clients, and stakeholders. This includes excellent verbal and written communication skills, as well as active listening and interpersonal skills.
**Organizational skills**: Need to be highly organized and able to manage multiple tasks and deadlines. This includes scheduling appointments, managing calendars, organizing files and documents, and ensuring that office supplies and equipment are in good working order.
**Attention to detail**: Need to be detail-oriented and able to spot errors or inconsistencies in documents, reports, and other materials. They should also be able to maintain accurate records and files.
**Problem-solving skills**: Need to troubleshoot issues with office equipment, solve scheduling conflicts, or address other challenges that arise in the course of their work. They should be able to think creatively and find solutions to problems in a timely and effective manner.
**Time management skills**: Must be able to prioritize tasks and manage their time effectively. They should be able to balance multiple projects and deadlines and adapt to changing priorities as needed.
