**Responsibilities**:
- Maintain and update customer records and information in the database
- Generate and share with the team on outstanding Work in Progress (WIPs)
- To provide Autoline and Coupa support for Service Centre Operations and channel the concerns to the respective Support PIC
- Generate and file reports for Inchcape PHV operations
- Provide support to the sales and operation team
- Prepare refund form through E-Forms
- Answer telephone calls, enquiries, customers’ complaints, and appointment booking for customers’ vehicle
- Record collection of payment through ‘Payment Allocation & Reconciliation’ in in-house system
- Sorting and mailing of credit customers’ invoices
- Prepare and submit monthly lubricant usage report
- General ad-hoc admin duties that may be assigned from time to time
- Ensuring timely submission of Incentives, OT, meal Allowance
- Timely submission of Sub-Contractors and vendor monthly payments for their services rendered to Ubi Svc Centre.
- Undertake any ad-hoc projects or duties as assigned.
**Job requirements**
- Preferably with a Diploma in Business or relevant discipline
- At least 2 years of relevant experience in administrative work, preferably in Automotive Industry
- Proficient in MS Office Tools (i.e. PowerPoint, Excel and Word)
- Experience with generating Pivot-Table, simple charts and updating of content in PowerPoint slides would be an added advantage
- Customer-service oriented, good communication skills and interpersonal skills
- Fast, positive learning attitude and meticulous
- Team player and able to work independently
- Experienced Autoline, BIPO and Coupa System would be a plus point
