Administrative Officer (Japanese Speaking)

**Responsibilities**:

- Assist with administrative operations and knowledge / records management of the Administration Department and Asia Digital Lab Project team in the Asia-Pacific Regional Headquarters office.
- Personal Assistant for APRHQ President
- Arrange day-to-day scheduling, meetings, business itineraries, travel, visas, insurance and accommodation
- Coordinate and arrange guest visits such as hotel bookings, restaurant bookings, scheduling and arranging appointments with clients/ consultants
- Seasonal greeting card arrangements
- Manage the admin operations and knowledge / records management of the department
- Timely delivery, review and liaising with HQ on submission of reports for Corporate Planning related tasks
- Monthly timesheet management for APRHQ IGS and Asia Digital Lab (hereafter ADL)
- Monthly IGS and ADL related expense calculation
- ADL related meetings schedule management
- Prepare the presentation slide for the meeting
- Support the project ADL member management and engagement support
- Coordinate with HQ related department for ADL tasks
- Prepare and circulate the documents for internal approvals including HQ approval
- Prepare routine accounting tasks
- Support necessary contractual documents
- Manage and update ADL intranet (when it’s ready)
- ADL related document management
- Monitor and report project budget to project managers
- Help with arrangements of APRHQ meetings where necessaryRequirements:

- A Bachelor’s Degree or Diploma in Business, or related field
- At least 5 years of relevant working experience.
- Excellent verbal and written communication skills both in Japanese & English language (for Japanese at least JLPT N1 or equivalent level)
- Experience in the construction industry will be an advantage.
- Experience in Multi National Enterprise will be an advantage.
- Experience in invoice management/PO/creation of payment slips an advantage
- Excellent verbal and written communication skills.
- Proficient in MS Office
- Strong time management skills with exceptional attention to detail and ability to manage multiple tasks at one time.
