Roles and responsibilities
Your administrative functions include assisting the units in making travel arrangements, travel claims, business expense claims and petty cash claims. You will handle compilation of board meeting materials, updating of business entity’s website, office maintenance, checking on phone charges, maintaining database and filing system. In addition, you will also be expected to provide logístical support for meetings and other ad-hoc duties or projects which may be assigned.- Secretarial and administrative support to CEO & manage calendar for CEO & Heads- Assist in coordinating travel arrangements and travel claims- Assist in compiling quarterly board meeting materials- Collating and printing investor booklets- Provide logístical support for meetings:
- Organise Board Meetings Snacks, Name Tags etc- Distribution of mail for business entity team- Update gifts and hospitality registry- Office maintenance- Manage pantry lady, external outsource service provider for cleaning services and dispatch services (backup)- Ordering of office stationery, drinks and fruits- Verifying stationery, drink and fruits order- Fire warden
JOB REQUIREMENTS
- 3-5 years of working experience in administrative or secretarial duties that support teams and with at least a GCEO qualification
- Meticulous and has initiative
- Strong organisational and communication skills
- A team player
- Able to work in fast-paced environment, multi-task and work with minimum supervision
- Proficient in MS Office
