We are seeking a detail-oriented and organized Administrative Assistant to join our team and contribute to the efficient functioning of our office. Additionally, he/she will assist the Marketing Manager with various tasks, such as:
- Marketing administrative support
- Office organization
- Communication
- Document management
- Data entry & record keeping
- Customer service
- Ad-hoc tasks
- Website updates Online order fulfillment
**Responsibilities:
**Marketing Administrative Support**:
- Provide general administrative support to ensure smooth day-to-day operations.
**Office Organization**:
- Maintain organized filing systems and databases.
- Manage office inventory.
**Communication**:
- Act as a liaison between internal teams and external contacts.
- Follow up on open items
**Document Management**:
- Prepare, review, and process documentation.
- Ensure accuracy and compliance with company policies.
**Data Entry and Record Keeping**:
- Input and manage data in spreadsheets and databases.
- Maintain accurate and up-to-date records.
**Customer Service**:
- Provide assistance to customers via customer support channel.
- Address inquiries and resolve issues promptly.
**Ad-Hoc Tasks**:
- Assist in various tasks and projects as needed.
- Handle additional responsibilities as assigned by management.
**Website Updates**:
- Assist in updating of website content
**Online Order Fulfillment**:
- Track and ensure timely fulfillment of online orders to ensure a smooth and efficient order processing workflow
- Proactively troubleshoot and address any discrepancies in the online order fulfillment process
- Liaise with relevant departments (warehouse, production, finance, logistics) to ensure orders get processed promptly
**Inventory Management & Creation**:
- Assist in updating inventory within warehouse platforms
- Act as a liaison between various departments and vendors to facilitate the smooth delivery of inventory to warehouses
- Ensure the correct mapping of product SKUs between warehouse platforms and the e-commerce site
- Proactively create new product catalog entries within the warehouse platform as needed
**Qualifications**:
- High school diploma or equivalent; additional qualifications in office administration are a plus.
- Strong organizational and multitasking skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent written and verbal communication skills.
- Attention to detail and problem-solving abilities.
- Ability to handle sensitive and confidential information with discretion.
