As an Office Manager, you will be responsible in providing administrative support for training admin, and as the main point of contact for WMRAS's members. Keen understanding of Membership policies, constitution, available resources and services, ongoing programmes, events, and activities, etc., to carry out front-end duties in informing and addressing members' concerns professionally.
Main duties and responsibilities
- Act as a local point of contact for all telephone calls, visitors to the office, answering to membership and training enquiries
- Handle and manage all office contracts (e.g. Rent, Telco, Services, etc.)
- Manage vendors
- Provide support with day-to-day maintenance of financial system database to ensure the accuracy of accounts (e.g., invoicing and payments)
- Respond and follow-up on membership and training registrations
- Work alongside internal/external trainer(s) on training schedule; coordinate training arrangements; obtain and distribute required training materials; communicate of training courses; manage training registration; collate and prepare attendance lists, etc.
- Develop and carry out efficient documentation and office documents filing system
- Maintain training records and database
- Coordinate logistics and resources across the organisation and training programme
- Oversee maintenance of training facilities and equipment
