
Assistant Facilities Manager

Internal Audit
Conduct regular internal audits of facility operations, processes, and procedures
Identify areas for improvement and compliance issues
Develop and implement corrective action plans
Maintain accurate records of audit findings and follow-up actions
Finance Management
1st level of approval for all POs
Review and verify all facility-related invoices for accuracy and compliance with contracts
Reconcile discrepancies and resolve billing issues with vendors
Process approved invoices for payment in a timely manner
Maintain organized records of all financial transactions
Management Review Preparation
Collect and analyze data for management review meetings
Prepare comprehensive reports on facility performance, budget status, and key metrics
Create presentations and visual aids to effectively communicate findings to senior management
Assist in developing action plans based on management review outcomes
Operational Oversight
Assist in coordinating daily facility operations and maintenance activities
Monitor service levels and ensure compliance with established standards
Supervise contractors and service providers to ensure quality and timeliness of work
Respond to and resolve facility-related issues and emergencies
Additional Responsibilities
Assist in budget preparation and tracking
Participate in the development and implementation of facility policies and procedures
Coordinate with other departments to ensure smooth facility operations
Stay current with industry trends and best practices in facilities management
