- Assist to manage Office Administration functions for hospital including but not limited to photocopier leasing, mailroom and courier services, facility booking, AV support, overseeing corporate zoom accounts and office space planning.
- Plan and implement administrative work processes. Validate processes and action plans through training, guidance and executions as required.
- Maintain loan records for AV/VC/IT equipment, updating/managing FBS, monitoring and overseeing corporate zoom accounts, etc. Including processing of payments when necessary.
- Manage the issuance of access cards for new joiners and facilitate replacement or loss of cards in accordance to established protocols for off-site offices.
- Monitor and review performance of vendors providing goods and services to offices, in areas of response time, level of commitments and willingness to collaborate.
- Support internal stakeholders in administrative areas so that they can carry out the core functions of the hospital.
- Evaluate performance of administrative vendors, conduct unplanned audit visits and assessments to identify rooms for improvement.
- Monitor and review work ethics of admin team and engage them during early stage of non-compliance to improve operational efficiency and effectiveness.
- Ensure proper documentation and records are maintained, including but not limited to pre-sourcing approvals, procurement records and award approvals.
- Perform secretariat duties, participate in organization/department projects as assigned.
- Participate in procurement and other activities in support of hospital opening as required.
- Covering of other administrative roles in absence of Executive Assistant as required to ensure smooth admin operations.
- Perform all other tasks and duties as assigned by Manager, Office Admin.
**Requirements**:
- Degree Holder
- Strong interpersonal skills, eye for detail and high level of initiative. Able to communicate effectively with different stakeholders with diverse background, lead in areas of administrative work processes
- Proficient in MS Office
- Good communication and presentation skills
- Meticulous and organized, able to process thoughts in an effective manner and present ideas
