**Primary Objectives of Position**:
To support the administrative and operational needs for AWWA Home and Day Activity Centre.
**Responsibilities**:

- Support and assist the Admin & Ops Manager in the daily operations of the Centre.
- Oversee the Visitor Management System in terms of ensuring that the registrations are updated.
- Co-ordinate Reception workflow and provide guidance/ supervision to Receptionist/s.
- Update internet/ intranet, client management and Knowledge Management (KM) systems regularly.
- Support laundry operations and supervise a team of laundry assistants to ensure that the operational workflow runs smoothly.
- Work with the kitchen catering vendor to ensure that catering, kitchen hygiene and logístical matters pertaining to meal orders and meal schedule are well-coordinated and managed to meet the needs of the Home and Day Activity Centre.
- Manage transport requests for Home events and for fetching clients to and from the Day Activity Centre.
- Liaise with transport vendor on transport billing and schedules to ensure that events and transportation support run smoothly.
- Work with Operations Manager and Maintenance Executive to ensure workplace safety and environment cleanliness so as to be according to the guidelines laid by the respective government bodies and authorities.
- Work with Fire Safety Manager and Maintenance Executive to co-ordinate fire drills, table-top exercises, implement fire safety procedures and evacuation route.
- Prepare and revise Standard Operating Processes from time to time for the smooth running of the Home and Day Activity Centre.
**Billing and Financials**
- Support clients’ billing and arrears management.
- Assist in claims submission for funding, including liaising with the relevant authority to ensure compliance to the funding criteria and consolidate documentations for claims submission.
**Procurement & Budget Management**
- Assist Admin & Ops Manager with the purchase requisition and management of
purchase order process through timely submissions in the procurement
portal.
- Ensure timely processing of vendor payments.
- Assist Admin & Ops Manager with monitoring the budget through regular expense tracking from Purchase Orders and HR claims.
**Events Management**
- Support Home events in the area of logistics support.
**Other Responsibilities**
- Provide coverage of duties of Admin Assistant when required.
- Assist in ad-hoc projects / committees as and when required
- Perform any other duties as directed by the Admin & Ops Manager/ /Director/CEO
**Job Specifications**
- Minimum Diploma in Business Administration or relevant qualification
- Minimum 2 years of experience working with people with disabilities/ in a residential Home setting, or any other relevant experience.
- Strong interpersonal skills and a good team player with the ability to work and collaborate well across all levels
- Resourceful, adaptable to changes and able to think on the feet
- Computer Literate, proficient in Microsoft Office
- Good team player, self-motivated and service orientated
