**Job Description & Requirements**:
You will be a member of the staff reporting to the Executive Director (ED). Your roles and responsibilities will include but not limited to:
Office Administration:
- Procurement of office supplies and equipment.
- Vendors management; Liaise with vendors (IT, facilities, cleaning, suppliers) on quotations, repair and maintenance work.
- Filing of documents and general administrative duties.
- Handle day-to-day administrative duties of the organisation.
- Manage quarterly newsletter.
- Social media management.
Secretariat Support:
- Handle phone calls, walk in and online enquiries.
- Prepare and submit reports.
- Assist ED to coordinate meetings and taking minutes.
- Attend Board Meetings with ED and prepare required documents and presentations.
- Keep track and organise the calendars and schedules of ED, and provide timely reminders
- Prepares and photocopies of correspondence, notices and any other materials.
- Research, prepare and handle ad-hoc projects.
- Handle sensitive information in a confidential manner.
Undertake any other duties as assigned.
- Minimum Diploma holder
- Minimum 3 years of working experience, preferably in administrative function.
- Proficient in desktop operating system and good knowledge of Microsoft Office.
- Good knowledge of using social media platforms.
- Ability to track multiple ongoing assignments meticulously, and to meet tight
deadlines while remaining flexible and adaptable.
- Ability to work independently and resourcefully in a team.
- Possess good interpersonal and communication skills.
