Your role is to support the Africa, Europe, Middle East, Central & South Asia (AEMEA) Department in three key functions:
- Monitor progress of initiatives to advance organisational objectives,
- Prepare accurate, timely and smooth corporate reporting and updates, and
- Assist in compliance and tracking of KPIs
You will also need to assist in managing in the GlobalConnect SBF committee, as well as assist in identifying governance weaknesses. On top of that you will be involved in the collection, analysis, reporting and dissemination of data to the GlobalConnect SBF initiative and SBF’s stakeholders.
**Responsibilities**:
1. Monitor progress of initiatives to advance organisational objectives. This include but not limited to:
- Perform secretariat role for program, and track discussion progress
- Analyse monthly rolling forecast and highlight financial risk
2. Assist and ensure accurate, timely and smooth corporate KPI reporting and updates. This include but not limited to:
- 1H and Full Year Corporate KPI reporting
- Quarterly Management Reporting
- SMM Dashboard Update (Weekly update)
3. Assist in compliance and tracking of KPIs for Government Funded Program secured. This include but not limited to assistance in the programme’s audits.
4. Support SBF Global AEMEA to organise and deliver events for excellent customer experience. This includes but not limited to:
- Assist in events within the GlobalConnect SBF internationalisation brand and other SBF initiatives
- Collate, compile and report data relating to event participation for reporting and analysis for review
- Coordinate relations with external vendors to ensure timely delivery of the service
5. Provide operation and logistics support to SBF Global events to ensure that the events are organised smoothly which will include the following responsibilities but not limited to:
- Pre and post event, virtual and physical, processes such as booking and setting up of event venue, logistics, event enquiries and registration, event marketing, managing vendors etc
- Perform proper financial and non-financial documentation, as well as billing tasks
- Collation of companies’ information, participant forms, visas, flight tickets, and working with external vendors for mission brochure printing and art layout
- Manage Electronic Direct Mailing (EDM) of the events
6. Secretariat
This includes but not limited to assistance in/for:
- Project managers of business missions
- Hosting of political office holders and attending events
- Provide administrative support where required to stakeholders. Identified stakeholders include, but are not limited to: Business Councils, Business Groups, Trade Associations and Chambers in Singapore/overseas and SBF members
**Job Requirements**
- Good understanding of business processes and organisational disciplines
- Ability to handle cross cultural differences in a respectful manner and can communicate effectively with internal and external stakeholders
- Adaptable to new situations and able to multitask
- Proactive and meticulous
- Good organisational and coordinating abilities
- Self-motivated and a good team player who can take lead in your assigned portfolio and support other colleagues in the respective work streams
- Strong verbal and written communication skills in English
