- Provide administrative support to the Managing Partner and his investment team.
- Schedules and coordinates meetings and manage booking of meeting rooms in the serviced office.
- Prepare related travel budgets to the Managing Partner.
- Coordinate with the respective PAs to manage the travel itineraries of visiting Senior Management - assist with hotel bookings, on-ground transport arrangements and restaurant reservations (when required).
- Provide support in office functions and corporate events - _company-hosted networking events and other marketing events that may arise from time to time. _
- Maintaining good rapport with the serviced office providers.
- Monitor and maintain inventory of necessary office supplies; order supplies as needed to keep basic supplies stocked.
- Maintaining and record Company assets _- laptops, printer, monitors, etc.**H.R**
- Preparation of employment contract.
- Maintain and update the records of employees’ details and leave calendars.
- Administer government-paid leave claims, funding and grant support.
- Prepare and send out staff payslip.
- Organise team luncheons and birthday gifts for staff.
**Accounts**
- Collate invoices, record and upload into Xero.
- Manage Team’s expenses, record and upload into Xero.
- Assist in preparing quarterly expenses report to be billed to clients.
- Keeping track that payment for claims are received and expenses are allocated to the correct projects.
**Qualifications**:
- Diploma or Degree in relevant field
- 3-5 years experience in similar role
- Proficiency in Microsoft Office and Xero will be an advantage
- Strong organisational skills with the ability to multitask and prioritise workload is essential
- Individuals who are self-motivated, adaptable and enjoy working in a team environment
- Self-directed and able to work without supervision
- Able to handle all sensitive information in a confidential manner.
