- We are looking for a Commercial & Tenders Coordinator to coordinate our tendering process to ensure compliant tender responses which lead to sales contracts and agreements generating the optimal return in line with WSS Sales Governance, WSS pricing standards and WSS safety operational and compliance. Lead implementation of newly acquired contracts to ensure compliance with WSS operational standards and customer expectations.

We handle 75,000 port calls per year, which means that every 7 minutes, anywhere around the world, we send a ship safely out to sea again to fulfil its purpose. - You will provide sales and customer performance analysis, provide other data support to Key Account Managers, Ships Agency Directors, Ships Agency Managers, on request.
What you will be doing:
- A. Tenders Coordinator- Be responsible for the efficient and compliant execution of all tendering activities from the pre-qualification stage through the final bid submission.
- Perform tender activities including preparation or compilation of response to RFP, bid evaluation, price proposal, preparation of letter of intent, and preparation of bid response.
- Conduct in-depth analysis of all invitations to tender received to identify the response that best meets the needs of customers and WSS.
- Contribute to the development of WSS deal and pricing processes and policies and assist in implementing them in the Region through management of the tendering process.
- Work with key stakeholders to risk assess contracts where deviation from internal sales governance occurs.
- Monitor and manage implementation of newly acquired contracts to ensure operational and financial readiness on day 1.
- Monitor contract performance against agreed terms and pro-actively assist sales and operations in improving business retention rates.
- Provide training to sales and operations staff in tendering and contract implementation processes and best practice.
- Ensure that customer payment terms and historical payment performance against payment terms is factored into pricing.
- Manage contract records and documentation.
- Provide pricing argumentation and rationale to sales force in collaboration with Head of Strategic Pricing.
B. Commercial Coordinator- Provide sales and customer performance analysis: prepare ad hoc presentations, strategy, insights, prepare business review.
- Prepare deal proposals and legal agreements in accordance with sales governance.
- Work with Key Account Managers to monitor and drive improvement of customer data accuracy and completeness in Salesforce.
- Develop dashboards in accordance with guidelines from Offer Manager. Customer support on dashboards.
- Maintain performance analysis dashboard.
- Prepare deal proposals, pricing, contract templates required outside CPQ tool.
- Work with all applicable system owners to maintain data quality.
- Assist Sales Process and CRM Manager and Central Services with customer and vessel registration in Salesforce and related systems.
- Coordinate the implementation of sales initiatives & campaigns.
- Prepare and organise sales meetings and customer events.
- Coordinate credit checks on new customers, current customers in relation to renewing deals / signing deals for in cooperation with the credit team
- Assist the Global Sales Director in driving the sales team to increase the opportunity conversion rate (through monthly drill down report to the Global Sales Director of each KAMs performance).
- Attend sales meetings as required.
- Report to KAMs on upcoming contract renewals and price revisions.
**Job Requirement**
- Required experience and skills:
- Master degree, preferably in relevant areas. Can be compensated with relevant work experience.
- Minimum 5 years of relevant working experience in tendering/bid management in shipping, oil and gas, or associated relevant industries on contracts up to USD20,000,000.
- Experience in contract management or commercial management in shipping, oil and gas, or associated relevant industries.
- Experience in business development or sales and nurturing client relationships to grow revenue.
- Negotiating skills, experience in negotiating with C-Suite/senior level stakeholders.
- Proven communication skills and with demonstrable experience in writing both sales and technical documents.
- Evidence of managing small teams with differing personalities to achieve goals. Ability to influence key stakeholders including senior personnel to produce desired results.
- Presentation skills (often presenting to senior stakeholders).
