Job Description

The incumbent is to manage the smooth deployment of vehicles across the company and all the related services. The incumbent will work with internal customers such as Managers and Supervisor within SingPost as well as external vendors to maintain the fleet. A major role will be the day to day management of the fleet where the incumbent will ensure that the vehicles are fit for use. This includes working with Operations team to handle any issues with vehicle maintenance. He will also have to work closely with vendors to ensure that the vehicles are properly maintained.

With FMS, vehicle management is no longer done manually. The incumbent will not only manage the fleet using the system, he is to ensure that the system is fully functional and used by all staff who use SingPost transport.
- Responsible for ensuring that the vehicle data are always accurately entered and maintained in ADAMS to meet statutory legal requirements and regulations.
- Maintain and update all company records and systems that impact on fleet management including ADAMS
- Responsible for generating and maintaining relevant databases that are necessary for the accurate production of management reports.
- Record and update vehicle maintenance plans and any other ADAMS data input in line with the requests and any vehicle transfers, ensuring that data is entered in a timely and accurate manner.
- Prepare for VICOM/STA annual test to the plan provided by the respective vendors. Advise the relevant team of the booked test dates and location.
- Maintain and update the vehicle records with appropriate information ensuring that new vehicles are logged and that existing vehicle MOT and STA expiry dates are recorded.
- Ensure that summons is processed and notified to the relevant senior line manager upon receipt. Establish and maintain a mechanism for tracking summons to ensure payments or appeals are made within the defined timescales or claims from the relevant
- Generate and monitor all campaigns from inception through to conclusion.
- To undertake any training and development activities at the request of the Department Manager.
- Cleaning record to go through daily and determine that all vehicles have gone through the cleaning by end of the month.
- Callover sheet to be update by 5PM to get the visibility of how many vehicles are not for use for the next day and once vehicles have been send back to operation, it must be update in the sheet.
- Maintain a good working relationship with depot management and all departments to ensure that licensing and testing matters are dealt with expeditiously.
- To undertake any additional reasonable duties at the request of the Department Manager.
- To undertake any training and development activities at the request of the Department Manager.
- Able to answer any general enquiries on engineering administrative matters that arise either internally or externally.
