ROLES AND RESPONSIBILITIES
1 A Main Point Of Contact Relevant To Administrative Scope For Project Personnel And HQ
2 Daily Update Of Project / Operation Progress To Immediate Superior.
3 To Have And Maintain Good Daily Attendance And Punctuality.
4 To attend weekly meetings with client and update Notes of Meeting (NOM)
5 To Update Team Member At Least 3 Working Days In Advance Before Going For Leave, In Order To Minimize Downtime
6 Familiarise and Operate SAP account when required.
8 Responsible To Arrange Safety Courses Such As Awshpp, Awshcs, Pwcso, RES, etc, As Well As In-House Training/Programs.
9 Tracking The Manpower Mobilization And Demobilisation At Project Site, Disscuss With Manager To Confirm & Raise K2 Form & Follow Up Till The Approval.
10 To Provide Weekly MRMS Report/Attendance Report, Highlight To Project Management (Including Safety Team) If Any Manhour Exceed Planned Manhours.
11 Maintain Office Cleanliness And Office Stationary. Raise Up The Request To Management Approval When Stationary Left Over Insufficient Qty.
12 Update Attendance (If Any Odd Clocking Report)To HRD (Payroll)For Workers And Staffs In Weekly Basis
15 Liaise With HRD To Complete Exit Clearance Exercise When Workers Resign
16 Update Training Matrix And Maintain Record Include External Internal Training Hours (72 Hours).
17 Prepare Petty Cash And Transport Claim & Submit To HQ Admin Monthly Basis (By 5Th Of Every Month)
18 Liaise With HRD On Wp Renewal And Follow Up Untill They Receive New Wp Card.
19 Liaise With Site Safety Team, HRD & Procurement To Arrange PPE For Site Workers And Staff
20 Brief Administrative Procedure And Policies To Workers As And When Required
21 Coordinate With Logistic In Charge For Site Workers/Staff Transport Arrangement
22 Follow Up The JSJD For New Project Site Employees And Scan Copy Save In G Drive
23 Attendane Record To Be Updated Before 10:00Am On Daily Basis And Update Manhours In Excel.
24 Prepare Memorandums Outlining And Explaining Administrative Procedures And Policies To Workers
25 Schedule Appointments And Give Information To Callers
26 Handles Sensitive And Extensive Confidential Information And Documents
27 Composes And Types Routine Correspondence And Prepare Materials For Special Events Such As Invitations, Guest Lists, Program And Etc
28 Orders And Stocks Office Supplies As Necessary And Process Purchase Of Such Items
29 Client Document Receive & Distribution To Site Management Team
30 Submit Document To Client For Approval & After Approval Distribute To Site Management Team
31 Hard Copy Document File At Site Office With "Master Copy" Stamp And Make Separate File For Superseded Document
32 Update EDCL Whenever New Document Receive And Distribute To Site Team Hard Copy And Return Back The Old Copy
33 Any other ad hoc job that been assigned for Admin
NATURE OF WORK
1 Need to work at Site
2 Need to wear full FRC PPE Uniform
3 Follow site working hours (7.30am - 6.30pm)
4 Internal transport will using Lorry
5 Handle workers from different nationality for Admin related issues
GOALS
1 Ensure That The Staffs At Project Site Has Valid Safety Passes And Renew Them 2 weeks Before Their Expiry.
2 Ensure That The Work Permit & S Pass Of The Staffs At Site Shall Renew Before One Month Of Its Expiry.
3 Handle Petty Cash Claim & Submit To HQ By 5Th Of Very Month
4 Daily Attendance Tracking And Update
5 Ensure records are kept updated at all times
