The Administrative Clerical Assistant provides essential support to the office by performing various administrative and clerical duties. This role ensures smooth daily operations, efficient communication, and accurate record-keeping.
**Key Responsibilities**:
Maintain and organize office files, records, and documents (both physical and digital).
- **Data Entry and Record-Keeping**:Input and update data in company databases and systems with a high degree of accuracy.
Prepare reports, spreadsheets, and presentations as required.
- **Scheduling and Coordination**:Manage calendars, schedule appointments, and arrange meetings for team members.
Assist in organizing company events, training sessions, and travel arrangements.
- **Office Supplies and Equipment**:Monitor and replenish office supplies, ensuring adequate inventory levels.
Coordinate with vendors for procurement and maintenance of office equipment.
- **Clerical Support**:Prepare and distribute memos, letters, and other documents.
Assist in photocopying, scanning, filing, and other clerical tasks as needed.
- **Customer and Staff Interaction**:Greet and assist visitors, clients, and staff members with inquiries and requests.
Provide support to various departments, ensuring smooth workflow.
- **Compliance and Confidentiality**:Handle sensitive information with discretion and maintain strict confidentiality.
Ensure adherence to company policies and procedures.
**Qualifications and Skills**:
- **Education**:
High School Diploma or equivalent (Associate's Degree in Business Administration or related field is a plus).
- **Technical Skills**:Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Familiarity with office equipment such as printers, scanners, and copiers.
Basic knowledge of data entry and record management systems.
- **Soft Skills**:Excellent organizational and multitasking abilities.
Strong attention to detail and accuracy.
Effective written and verbal communication skills.
Positive attitude and team-oriented mindset.
