As an Office Manager & Executive Assistant to the APAC CEO, your scope will range from operational to strategic tasks, helping our CEO coordinate various projects and business demands across Zuhlke in APAC and the Zuhlke Group. You should also demonstrate strong organisation and coordination skills in logístical and administrative tasks for multiple departments and liaise with our vendors and suppliers, to ensure everything runs smoothly.
Working on this role, will enable you to develop a deep business understanding and directly support Zuhlke's growth.
What will your job involve
Executive Assistant to APACE CEO
- Communicate and negotiate with external stakeholders
- Manage inboxes and calendars, act as the administrative point of contact of the CEO
- Establish deep cooperation with Executive Committee members and facilitate information exchange
- Collaborate and liaison within the Zuhlke Asia region, as well as Zuhlke Group
- Recognize challenges and delicate situations and facilitate resolutions with recommendations and actions
- Draft and implement new company processes, proactively take on challenges and solve problems
- Participate in or manage operational and strategic projects
- Organize and coordinate meetings, professional events, and business travel
- Prepare meeting minutes and dispatch communications throughout the organization
- Generate reports, presentations and briefs on regular and ad-hoc basis
Office Management
- Provide general support to visitors and ensure they feel welcome and comfortable
- Act as first point of contact for our employees for all office related topic (access rights, badge admin, Aircon etc.)
- Managing office services: ensuring office operations and procedures are organised
- Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time
- Manage office supplies inventory and procure orders as necessary
- Maintain a safe and secure working environment
- Ensure office efficiency is maintained by meticulously planning, installing and maintaining of equipment procurement, layouts and office systems
- Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office
- Any company events management support
What you bring with you
- Bachelor or Masters degree in Communication, Business Administration, or equivalent field
- You have 1 - 5 years of experience in a similar role, working in Consulting, IT or Professional Service Industry
- Proficiency with MS office, knowledge of Analytics and Project Management software is a plus
- You are a problem-solver with strong analytical skills
- Strong Project management, coordination, and follow-up skills
- You have impeccable interpersonal skills and maintain a strict level of confidentiality
- Ability to communicate across all levels and functions in the organization
- Excellent verbal and written communication in English, Mandarin knowledge is a plus
- Ability to anticipate issues and risks, and manage resolutions
- You want to work in a diverse team and develop your intercultural skills
- Strong personal drive, desire to grow and ability to work independently
