Workplace Experience Coordinator
Work Dynamics - Integrated Facilities Management
Assist FM in day-to-day operations of workplace facilities services

Supervision of 3rd Party vendors

Conduct regular facility inspections (meeting rooms, offices, etc) and arrange for follow up with the respective contractors Staff is expected to conduct weekly site walkthroughs.

Prepare and keep an updated listing of WPCs and user groups

Prepare listing of internal plants and work with appointed contractor on upkeep and refresh of these plants

Response to users feedback in the areas of safety, cleaning, pest control, concierge, landscape, security guards and shuttle buses etc and environmental needs through both personal contact and work order systems (helpdesk system) and assignment of work to the relevant service providers

Liaise with Landlords on car park issues faced by users and maintain an updated listing of users

Arrange with appointed service provider for the disposal of confidential materials (client staff to act as witness)

Raise purchase requisitions/purchase orders and maintain suppliers register

Ensure payments are made to maintenance contractors within 1 months of the receipt of invoices

Send reminders to service providers on billing for work done

Get sign off from all service providers concerning final payments for services rendered in a given year

Act as Account Payable to register and map invoices with purchase orders as well as verify invoices for work completed

Work with appointed contractor to ensure chairs in the offices/meeting rooms are all at their rightful locations

In-charge of art piece inventory and management and liaise with client’s finance department on inventory of art pieces

Manage in-coming/outgoing mails (local mails)

Other duties and responsibilities as required by the Account Lead and Director of Workplace Experience Services
