Job Title: Workplace Experience Coordinator
Job Type: 6 months contract

About the Role:
We're looking for a proactive, detail-oriented Workplace Experience Coordinator to join our Client's team and ensure an exceptional in-office experience for employees and visitors alike. In this role, you'll be the face of the office, supporting day-to-day operations, coordinating events, and helping us build a vibrant, functional, and welcoming work environment.

Key Responsibilities:

Managing In-Office Experience

  • Oversee daily reception operations, including visitor check-in and access.

  • Act as on-site security liaison when needed.

  • Manage vendor relationships for catering, supplies, and maintenance.

  • Conduct weekly office audits and coordinate with property management to resolve facility issues.

  • Serve as the go-to resource for employee requests and office needs.

Event and Meeting Coordination

  • Support internal events and meetings by managing logistics and room setup.

  • Provide hands-on help for deliveries, mail, and room reconfigurations.

Operationalizing Workplace Projects

  • Monitor Slack channels and ticketing systems to triage requests and approvals (e.g., office access).

  • Support access programs and track usage reports.

  • Assist with team administrative tasks, including budget tracking and document management.

Employee Experience & Support

  • Respond promptly to employee inquiries via tickets, Slack, email, and phone.

  • Drive special projects that improve team productivity, efficiency, and service quality.

  • Maintain key program materials and ensure documentation is accurate and up-to-date.

What You Bring:

  • 2 years of experience in Facilities or Workplace Operations.

  • Working knowledge of workplace policies and procedures.

  • Exceptional customer service skills and a calm, friendly demeanor.

  • Ability to thrive in a fast-paced, team-oriented environment.

  • Strong multitasking and organizational skills.

  • Self-starter with the ability to work independently.

  • Excellent written and verbal communication skills.

  • Proficient in Google Suite.

  • Ability to be in the office daily.

  • Comfortable with physical tasks (e.g., lifting up to 50 lbs, walking/standing for long periods).
