**What the role is**
- The Corporate Operations Division plays a vital role towards achieving its strategic goal of a High Performing Organisation for MTI. It establishes robust corporate policies, IT systems and formulates strategies for the organisational performance in line with MTI’s mission and vision. In addition, it is also responsible for MTI’s National Emergency preparation and peacetime crisis response plans in support of the government. These include scenario and business continuity planning and exercising of contingency plans against various national security scenarios.
You will be part of the team in Corporate Operations Division (COD) responsible for delivering high quality corporate service support in MTI so as to achieve customer satisfaction. You will report to Deputy Director (Knowledge Management-KM) and Senior Assistant Director (SAD) and be required to supervise/work with a team of supporting staff in ensuring smooth planning and execution of the Ministry’s corporate functions.
**What you will be working on**
- Oversee the records management services and support knowledge management(KM) in MTI - Supervise and manage the records management team and vendors - Assist with KM process reviews to ensure compliance to KM policy and standards - Partner divisions on KM projects for continuous improvement - Manage and administer IT systems related to KM and records management - Oversee the records digitisation programme which includes the end-to-end planning, execution and implementation of related work - Manage the appraisal, archival, transfer and disposition of registry records and liaise with the National Archives of Singapore (NAS) on related matters - Coordinate and handle MTI replies to Parliament Questions (PQ) with internal stakeholders in preparation for Parliament sittings, and ensure timely upload of PQ replies to the ePQ Portal - Manage stakeholders’ enquiries on declassification requests, retrieval of archived documentation, international agreements/MOUs, PQ matters etc - Manage and oversee audits related to records management and ISO 9001-2015 Quality Procedure (QP)
- Support the overall KM and records management initiatives and activities for MTI, and any other duties assigned
**What we are looking for**
- Tertiary education in information and knowledge management or equivalent is an advantage
- Minimum 3 years of relevant experience is preferred
- Experience in KM, records management and digitisation is preferred
- Must be proficient with MS office skills
- Good verbal and written communication skills
- Keen attention to details, able to learn and work systematically in a fast-paced environment
- Able to multi-task, work concurrently on more than one project, and with good organising skills
- Team player with a positive work attitude; able to engage and facilitate discussions
