**EXECUTIVE ASSISTANT (CEO/CFO)**

**General Information**

**Main function**:General Support

**Purpose of the role**:
The role of the Executive Assistant is to be the supportive force that empowers their senior leaderships and the departments reporting to them. The ideal person for the job will be a proactive problem solver with exceptional communication skills and a meticulous attention to detail. He/She will have previous experience in an office environment, performing administrative and secretarial duties and providing support to the management. Given the changing nature of the executive landscape, they rely on this role for the flexibility and foresight. The role will support primarily the CEO and CFO, the wider Finance department and be available to extend the support to other immediate direct reports of the CEO.

**Reports to**:Chief Executive Officer & Chief Finance Officer
- Assist the wider Finance department but not limited to the main tasks below:
a. Loan administration coordination including preparation of “Know Your Customer” information for banks,

new loans and recurring reviews by banks, etc;
b. Accounts Receivables administrative tasks;
c. Compiling, Printing and Binding of management reports on periodic basis (monthly, quarterly and

annually).
- Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executives;
- Manage, coordinate, and arrange the travel and travel-related activities, including hotel booking, transportation, and meal coordination for the CEO, CFO and the respective departments reporting into them (refer to the organisation chart);
- Assist to prepare primarily the CEO and CFO’s expense reimbursements for submission to Finance and be available to support their direct reports mainly the head of departments reporting to the CEO and CFO when the needs arise;
- Perform administrative and office support, such as typing, dictation, spreadsheet creation, maintenance of filing system and contact database;
- Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business;
- Manages the CEO and CFO’s house rentals and coordinate with HR and Treasury renewals.

Overall, the Executive Assistant should be proactive in managing and assisting the CEO and CFO in all aspects of their employment and stay in Singapore.

- Efficiency and effectiveness in the area of support.

**Job Requirements**:

- Minimum GCE “A” Levels or a Diploma in Business Management or its equivalent;
- At least 5 years of experience in an Executive Assistant or department secretary capacity;
- Experience supporting a finance/accounts department preferred.
- Strong command of English both oral and written;
- Strong presentation of documents prepared (e.g., formatting).
