**Roles and Responsibilities**:
HR Duties:
- Conduct recruitment effort for all vacancies and in charge of related matters pertaining to new employee orientations & documentations etc.
- Be responsible for generating and upkeep of documentations relating to Human Resource Executive.
- (e.g Staff P-Files etc.)
- Handle employee relations counseling and exit interviewing
- Be responsible for timely completion and submission of monthly payroll for all employees
- Manage the leave, claims & payroll modules in Human Resource Integrated System (i.e SmartHRMS)
- Assist in preparing & maintaining the Employee Handbook, Organization Chart and Employee Directory etc.
- Be in charge of insurance matters of staff which includes document submissions, follow-ups with insurer etc.
- Execute Training Plan and ensure completion of Staff Satisfaction Survey & Compilation
- Assist in the management of staff welfare functions (i.e. events, trainings etc.)
- Schedule monthly EXCO Meeting and ensure attendance of required staff & compilation of meeting minutes
- Manage the yearly school calendar planning.
- Participate in the school’s EduTrust Certification Process in terms of compliance with Standards & Statutory requirements etc.
- Any other duties assigned by immediate supervisor
Admin Duties:
- Greet and attend to incoming visitors pleasantly and professionally.
- Be in charge of visitor logbook system and ensure the documentation follows government requirements such as the Safe Measure Management regulation.
- Maintain tidiness of reception area, meeting room, multi-purpose room & ensure that refreshments are replenished.
- Assisting in general admin duties (e.g. fees collection)
- Liaise with outsource company and handle the full range of facility management work, ensure property, equipment and services in the facility are well maintained; to ensure a safe and cost-efficient operation and comply with regulatory (i.e Professional Pest Management Company, Cleaning company, Landscaping company etc)
- Make sure the school’s facilities, infrastructure and equipment are in working condition
- Review and audit any official documents such as agreement and contact
- Manage school’s inventory list to keep it up to date and ensure timely replenishment when stock run low.
- Handle all purchasing matters relating to facilities and resources.
- Handle and distribute issues to the respective personnel/partners/suppliers/vendors to resolve issues in a timely manner.
- Be in charge of matters pertaining to the school bus arrangement, school uniforms and bookshop issues etc
- Be in charge of students’ daily lunch orders and ensure quality & quantity of food being served
- Be in charge in planning for emergency response plan including fire drill exercise and etc.
- Provide administrative support to the education programs and activities.
- Provide administrative support in office events planning and project.
- Be responsible for generating and upkeep of documentations relating to Admin Executive
**Selection Criteria and Minimum Qualifications**:
- Possess at least a Diploma/ Advanced/Higher/Graduate Diploma, Bachelor’s Degree, Post Graduate Diploma, Professional Degree, Human Resource Management, Business Studies/Administration/Management or equivalent
- At least 2 years of working experiences in the related field is required for this position
- Possess good communication and interpersonal skills with pleasant disposition
- Possess good understanding of local employment law and processes
- Meticulous, responsible, resourceful with high degree of professional integrity & HR ethics
- Display initiative and ability to work independently as well as in a team
**Salary**: $2,500.00 - $3,000.00 per month
