(Senior) Executive Assistant, Psychological

**Job Purpose**:
The Executive Assistant/ Senior Executive Assistant provide administrative and operations support for his/ her respective section.
**Duties and Responsibilities**:
**Primary Responsibilities and Duties (80%)**
- Administrative functions including, but not limited to, writing minutes, printing and preparing training/ resource materials (training materials, forms, brochures etc.)
- Logistical functions including, but not limited to, sourcing for quotations, preparing purchase requisition, raising request for purchases, room booking, catering and loaning of laptop/ projector and other teaching equipment
- Support clinicians in their administrative role such as tracing patient medical records, filing assessment forms, managing admin files for record purpose
- Assist in appointment booking and remind patients of appointments
- Liaison with internal and external stakeholders for meetings, school/home visits etc.
- Event management of various workshops, seminars and training classes
- Maintain and update various databases, and perform data entry
- Record and update staff movement
- Updating statistics/data for tracking purposes
**Secondary Responsibilities and Duties (20%)**
- Maintain and replenish inventory on office supplies such as stationery, toner for printer/ photocopier
- Maintain department staff records, locker keys and other minor office supplies
- Any other duties assigned by the supervisor
**Job Requirements**
- Minimum diploma holder
- Minimum 2 years working experience in administrative duties
- Computer skills in MS Office
- Good organizational and communication skills
