**Duties & Responsibilities**:
- Coordinate the logístical arrangements of all events where groups of parents or other guests are expected to be in attendance
- Work in collaboration with the Calendar Coordinator to ensure neither events nor peripheral arrangements for events, such as rehearsals / setup / clear away etc, clash.
- Liaise with our Operations Department in ensuring that event venues are fully prepared and cleared away, and are compliant with fire regulations.
- Lead on the process of risk assessing events and putting mitigating measures in place where appropriate.
- Liaise with our security team regarding their operating procedures during events, relating both to guest site access and the management of parking.
- Liaise with the Theatre Manager in the arrangements of events utilising either our performing arts spaces or AV equipment
- Liaise with our catering department where any catering is required for events.
- Liaise with our purchasing staff, and on occasion purchase directly, items required for events - this may include sourcing suppliers, obtaining quotes and engaging with the design process.
- Social Media: Support the marketing of events by creating associated content for posting online through our official social media channels prior, during, and after events.
- Liaise with reception in the arrangement of transport for VIPs associated with events
- Create and deploy both ad-hoc and standardised signage for events
- Lead on the development of Standard Operating Procedures (SOPs) for common types of events and ensure they are followed by event organisers.
- Act as the first point of contact for staff seeking to organise an event.
- Liaise directly with our Parents’ Guild in the organisation of events that involve them.
- Support internal school events, as appropriate and when requested
- Lead in the planning and execution of external events
**Social Media**:
- Generate the content for our social media posts, under the direction of the Head of Parent Relations & Communications
- Manage posting to social media accounts under the direction of the Head of Parent Relations & Communications
**Safeguarding**
- Abiding by the school safeguarding policy and keeping abreast of any changes.
