About the Role
This role goes beyond the typical admin/office management function as the company is looking for somebody who is able to come up with ideas to improve the workspace, food, different office supplies, administrative workflow and policies, office engagement activities and office operations. The ultimate aim is to invest in and establish a fantastic workplace where employees feel happy coming to work every day and they are engaged and productive in their work thus leading to better work performance. You will ensure smooth running of the office on a day-to-day basis, including meeting and event planning, design and implement office activities, and provide office and administrative support to the employees when necessary.
Job Responsibilities:
1. Provide administrative support, and coordinate with various departments and offices within the group on all administrative related issues.
2. Assisting Office Supervisor with office administrative support and providing advice to employees on general office-related enquiries
3. Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
4. Responsible for all office maintenance and office management, liaising with building management and external vendors when needed
5. Plan and execute office and employee engagement events, preparing logistics for conferences and team parties with the team
6. Arrangement of employee lunch and snacks and improvise the vendors list.
7. Track and maintain up-to-date monthly employee leave records
8. Employee group insurance enrolment administration
9. Ensuring safety of employees within the office, ensuring sufficient first aid supplies
11. Courier and office mail management
12. Assist with employee and management business travel (flights, visa and accommodation)
Job Requirements:
1. At least 1-2 years of related working experience in admin scope
2. Possess a local Diploma / Degree in any fields
3. Strong passion to work in a fast paced start-up environment and do hands-on work
4. Strong time management, organizational and interpersonal skills
5. Ability to keep information organized and confidential
