
Administrative Assistant 2

**Description**
With direction from their supervisor, the Administrative Assistant 2 is involved in the communication between team employees and clients, customers, and other employees, acting as the initial contact for those interacting with team. The indiviudal organizes communications, sets up meetings, and coordinates schedules for team members, as well as assists with report management and development.
Principal Accountabilities:
- Assist in preparation of office communications from team for distribution in relation to any general office changes (such as those out of office or general maintenance issues that may affect office members).
- Maintain and organize company records and files as well as provide general upkeep of office reports as needed.
- Manage employee calendars, including scheduling and coordinating meetings for team members with associates and clients.
- Manage travel schedules and coordinate travel logistics (e.g., book flights, hotels, amenities, appointments, meetings, etc.).
- Provide administrative and clerical support to team to complete daily tasks within area supported.
- Review and complete expense reports as directed, such as updating expenses for department ledger.
- Takes notes or transcribes as necessary in meetings and other office communications to ensure accurate information is recorded for team.
Skills & Software Requirements:
Proficient in technologies such as MS Office, telephone, teleconferencing, web conferencing (Tandberg).
