DESIGNATION : Executive Assistant, Office of President
RESPONSIBILITIES
- Administrative Duties
- Administer all purchasing needs of President’s Office and maintain the full assets list, including but not limited to:
- Raising Purchase Orders (POs) for purchase of office equipment, supplies and travels;
- Sourcing of vendors, where required;
- Performing annual review of assets list with Office of Finance.
- Maintenance of intranet site for President’s Office and distribution lists created under President’s Office.
- Support Deputy Director (President’s Office) to facilitate project deliverables under President’s purview.
- Act as backup cover, on a needs basis, for duties such as managing President’s calendar, arranging President’s travel needs, assisting with all correspondences originating from President’s Office, etc.
- Other administrative duties as may be assigned from time to time.
- Events Management
- Organize and manage events in President’s Office, such as lunches with students; lunches with faculty; ad hoc lunches/ dinners; seminars and/or conferences supported by President’s Office.
- Secretariat Duties
- Prepare and take meeting minutes for the International Advisory Council (IAC) Steering Committee meetings.
QUALIFICATIONS
- A university degree or equivalent but in the absence of a degree, a diploma and/or a professional executive secretary qualification, coupled with at least 10 years of relevant work experience in a similar capacity, would be required.
- Ability to write grammatically correct business correspondence and reports independently; keen attention to detail and meticulous.
- Ability to multi-task and cope with multiple deadlines or competing priorities; adapt and prioritize changes as necessary.
- Ability to communicate with colleagues across the University and key external contacts in a professional manner.
- Ability to exercise discretion and maintain confidentiality at all times.
- Efficient, self-motivated and independent.
