Roles & Responsibilities Job Responsibilities This position will report directly to the Head of General Admin and support the team with the following duties: Conduct routine inspections of premises and equipment Monitor performance of cleaning,security and other outsourced services Maintain inventory of supplies and coordinate procurement when necessary Ensure compliance with safety,health and building regulations Support fire drills,annual shutdown and emergency response readiness Preparing, organizing and storing information in paper and digital form Dealing with queries,meeting rooms reservations etc Coordinate event setup,teardown and liaise with internal teams Administration and maintenance of fixed assets Liaison with vendors on office related matters Prepare and manage the facilities budget Administration and maintenance of warehouse storage records, internal circulars Support control,maintenance and administration of office security etc Other general administrative matters Requirements Minimum diploma in Facilities Management or relevant discipline from a recognized tertiary institute At least 3 years of relevant experience in facilities management/building services/estate operations/general admin related field Fresh Graduates Diploma/ Degree in facilities management are welcome to apply Understanding of building systems,maintenance protocols and safety standards (e.g. Fire Safety Act) Ability to multi-task and work under pressure in a dynamic and fast-paced environment Good communication,project management and interpersonal skills Proficient in MS Office Must have valid Class 3 driving license Tell employers what skills you have Fire SafetyAbility to MultitaskBudgetsMicrosoft OfficeMicrosoft Excelgeneral office managementInterpersonal SkillsInventoryPropertyOffice ManagementBuilding ServicesAdministrationMS OfficeProcurementProject ManagementEmergency ResponseClass 3 Driving LicenseAdministrative Supportoffice management supportFacilities Management
