This position offers administrative and documentation support to the IT/Product team. This role is non-technical, but it involves working closely with technical teams and requires strong organizational and documentation skills. The main goals of the role are to ensure smooth coordination between departments, track tasks efficiently, and keep accurate records of project progress, approvals, audits, and releases.
The Contract Administrator is responsible for managing a variety of product and project-related documents. This includes preparing and organizing product-related items. The role also involves tracking document versions and maintaining repositories.
In addition to documentation, the role provides administrative support. This includes scheduling and coordinating meetings with different teams, recording and distributing meeting minutes and action points, and following up on outstanding tasks.
The administrator also assists in tracking system changes, maintaining product release calendars or Jira boards, and coordinating necessary sign-offs and approvals. For compliance and audits, the role involves preparing documentation for internal, ISO, and external audits, as well as maintaining logs for user access, change management, and incident reports. The administrator also helps ensure that policies like ITIL or PDPA are followed in the documentation process.
Finally, the role involves acting as a key liaison between the product, business, and compliance teams. This includes consolidating feedback and requirements and ensuring clear, timely communication across all functions.
Responsibilities
Manage a variety of product and project-related documents, including version tracking and repository maintenance.
Provide administrative support: schedule and coordinate meetings, record and distribute minutes and action points, and follow up on tasks.
Track system changes and maintain release calendars or Jira boards; coordinate sign-offs and approvals.
Prepare documentation for internal, ISO, and external audits; maintain logs for user access, change management, and incident reports.
Ensure documentation processes align with ITIL, PDPA, and related policies.
Serve as a liaison between product, business, and compliance teams to consolidate feedback and requirements and ensure clear communication.
Qualifications
Diploma or bachelor's degree in IT, Business Administration, or a related field
Minimum 2 years of experience in an administrative, coordinator, or documentation role, ideally within a tech or IT setting
Excellent organizational and time management abilities
Detail-oriented with structured documentation habits
Strong multitasking across multiple projects or systems
Clear written communication for both technical and non-technical audiences
